These Terms and Conditions ("Terms") govern your use of the LeadFlow Automations website and services. LeadFlow Automations is operated by Robert Kaminski, a sole trader trading as LeadFlow Automations. Our business correspondence address is Bartle House, 9 Oxford Court, Manchester, M2 3WQ. This is a correspondence address and does not represent a staffed LeadFlow office. By accessing our website or using our services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our website or services.

1. Acceptance of Terms

By accessing and using the LeadFlow Automations website (the "Site") and services, you accept and agree to be bound by these Terms and our Privacy Policy. These Terms apply to all visitors, clients and others who access or use the Site.

2. Services

LeadFlow Automations provides controlled enquiry capture, owner-approved follow-up and AI call-answering systems for service businesses. Specific details of services provided to individual clients will be set out in separate service agreements.

We reserve the right to modify, suspend or discontinue any part of our services at any time without notice.

3. Use of the Website

You agree to use our website only for lawful purposes and in a manner that does not infringe the rights of others. You must not:

  • Use the Site in any way that violates applicable local, national or international laws or regulations
  • Transmit any unsolicited or unauthorised advertising or promotional material
  • Attempt to gain unauthorised access to any part of the Site or its related systems
  • Use the Site to transmit any harmful, offensive or malicious content
  • Reproduce, duplicate or copy any part of the Site without our written permission

4. Intellectual Property

All content on this website, including but not limited to text, graphics, logos, images and software, is the property of LeadFlow Automations and is protected by applicable intellectual property laws. You may not reproduce, modify, distribute or create derivative works without our prior written consent.

5. Client Agreements and Payment

LeadFlow sells these packages to people acting for a trade or business, not for personal or household use. The standard package description, price, these Terms, our Privacy Policy and the information you provide at onboarding form the initial order. Any agreed variation, bespoke integration or additional service must be confirmed in writing. If you are trying to buy wholly or mainly as a consumer, contact us before paying.

When direct online purchasing is open, choosing a package and completing Stripe Checkout creates a paid order for that package at the displayed setup and monthly price. Stripe requires you to accept these Terms before payment. Card and billing details are handled by Stripe and are not entered into Anna or LeadFlow’s website forms. Payment begins dormant onboarding only: it does not activate website forms, customer-enquiry processing, messaging, telephone routing or any other live service.

If direct purchasing is closed, submitting a website question or package application is not a purchase, does not reserve a place and does not activate any service. LeadFlow may instead provide a written scope and controlled payment route after review.

5.1 Setup, refunds and subscriptions

Setup work begins only after your completed onboarding information and prerequisites have been received and reviewed. The stated setup target starts when LeadFlow confirms that those prerequisites are complete. Setup targets are estimates, not guaranteed completion dates.

If LeadFlow decides before build work starts that the standard package is unsuitable or cannot be delivered, LeadFlow will cancel the order and refund the setup fee and any unused subscription payment in full. You may request cancellation and a full refund before build work starts. Once build work has started, the setup fee is non-refundable except where LeadFlow fails to deliver the agreed standard setup or the law requires otherwise. This does not affect any rights that cannot lawfully be excluded.

Your subscription is billed monthly in advance and can be cancelled at any time. Cancellation requests should be sent to hello@leadflowautomations.uk from the account-holder email address. Cancellation takes effect at the end of the current billing period and will be confirmed in writing.

Your setup fee includes corrections agreed during invented-data proof and one configuration revision round requested within 14 days after go-live. Later or out-of-scope changes (for example new services, areas, rule changes or wording rewrites) may be chargeable at a fixed configuration-change fee of £35. LeadFlow will describe the change and obtain your approval before starting chargeable work.

Bespoke integrations, multiple sites or phone lines, complex booking logic, website building or repair, data migration, custom reporting and out-of-hours support commitments are not part of a standard setup and are quoted separately as a custom setup.

You are responsible for the accuracy of the information provided at onboarding; your setup is built from it. LeadFlow does not guarantee lead volume, jobs, revenue or business results.

Starter — £49 per month plus £149 one-off setup. Starter is human-operated. It captures enquiries from one agreed website form as neutral Review required cards for the owner to read and handle. It does not use AI to screen, prioritise, summarise or draft replies, and it does not contact customers automatically. The target setup time is five business days after LeadFlow confirms that all agreed prerequisites are complete; this is an estimate, not a guaranteed completion date.

Growth — £69 per month plus £199 one-off setup. Growth includes Starter plus owner-approved platform email sending. LeadFlow displays the exact recipient, subject and editable message for the owner to review. Nothing sends without the owner's approval. When the owner presses Approve & send, LeadFlow queues that exact approved version once, records delivery or bounce status, and directs customer replies to the business mailbox agreed during setup.

Pro — £99 per month plus £249 one-off setup. Standard Pro includes Growth plus a separately configured AI telephone receptionist with 300 connected minutes per month, a four-minute session allowance, a 30-second warning and no automatic overage. Exact fallback, number routing and suitability are confirmed before activation. Anna does not diagnose work, accept jobs, book or confirm appointments, or promise attendance or availability. LeadFlow does not record calls or keep a call transcript by default. Customer website voice is an optional separately scoped add-on and is not part of standard Pro.

Every package remains dormant after payment while intake, scope, privacy readiness and configuration are completed. The full journey is tested with invented information and corrected before both the client and LeadFlow provide matching written activation approvals. Activation is watched, followed by practical training, handover and an initial check-in. The optional Anna guide on this public website is a LeadFlow sales and information guide only; it is not a client’s Pro receptionist.

5.2 Public website Anna

“Talk to Anna” is an optional AI sales and information interface that explains public LeadFlow information, asks bounded context questions, compares what the current packages include and exclude, and can collect contact details only when you ask for a follow-up and explicitly confirm them. Anna does not recommend or choose a package and cannot accept card details or complete payment inside the conversation. She may direct you to the website’s exact secure purchase page. Her answer is not a binding bespoke quote, service activation, legal advice, emergency advice or guarantee of suitability or results.

Anna does not start automatically. You must deliberately open the control, read the short privacy notice and allow microphone access. You must not provide payment-card details, passwords, security codes, medical information, criminal-offence information or other sensitive personal data. You may mute or end the conversation at any time. The service may be unavailable or end early because of browser, network or provider conditions; the written question form and email route remain available.

Submitting or confirming details through Anna is treated in the same way as a website question: it is not a purchase and does not activate customer processing. A purchase is completed only on the separate Stripe Checkout page after the package, price and Terms are shown. Our handling of voice and confirmed follow-up details is explained in the Privacy Policy and Website suppliers and subprocessors page.

6. Disclaimer of Warranties

Our website and services are provided on an "as is" and "as available" basis without any warranties of any kind, either express or implied. We do not warrant that:

  • The Site will be uninterrupted, error-free or free of viruses
  • Results obtained from using our services will meet your specific requirements
  • Third-party services or integrations will remain continuously available or unchanged

7. Limitation of Liability

To the fullest extent permitted by law, LeadFlow Automations shall not be liable for any indirect, incidental, special, consequential or punitive damages, including without limitation loss of profits, data, goodwill or other intangible losses, arising out of or relating to your use of our website or services.

Our total liability for any claims under these Terms shall not exceed the amount paid by you for the relevant service in the three months preceding the claim.

8. Indemnification

You agree to indemnify and hold harmless LeadFlow Automations, its owner, employees and agents from any claims, losses, liabilities, damages, costs and expenses (including legal fees) arising from your use of the Site or services, your violation of these Terms, or your infringement of any third-party rights.

9. Third-Party Links and Services

Our website may contain links to third-party websites or integrate with third-party services. We are not responsible for the content, privacy practices or terms of those third-party services. Your use of a third-party service is subject to its respective terms.

10. Privacy

Your use of our website is also governed by our Privacy Policy, which is incorporated into these Terms by reference.

11. Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting to the website. Your continued use of the website after changes are posted constitutes your acceptance of the revised Terms. We encourage you to review these Terms periodically.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid and enforceable.

14. Entire Agreement

These Terms, together with our Privacy Policy and any separate service agreements, constitute the entire agreement between you and LeadFlow Automations regarding your use of the website and services, and supersede all prior agreements and understandings.
